You will need to have a number of services and facilities available on-site to operate the event efficiently and successfully. See TIMELINE checklists:

To comply with Health and Safety requirements and permissions, plans and maps should show the location of services onsite and immediately offsite.

If your venue does not already have the services and facilities you need for your event, you may need to purchase, hire or borrow these.

Keep up-to-date and accurate check lists of equipment and supplies. Make sure that you have reserve/replacement stocks to cover any breakdowns.

Find suitable service and facilities suppliers via the Yellow Pages, local telephone directories and, best of all, by 'word of mouth' from other event organisers.

Use approved suppliers such as the appropriate Electricity company, Dŵr Cymru Welsh Water, registered installers, electricians and plumbers. Avoid vandalism by making sure your site has adequate security systems.

You may decide to invite the Local Council and the Health & Safety Executive to visit and check the site, especially if you are new to this role. The Fire Brigade and Police can also give advice on meeting requirements.

Key Points:

  • Carefully plan for safe delivery, installation and final removal of all services and facilities
  • Brief all staff on location of services and facilities
  • Implement operational procedures to meet safety legislation
  • Make sure that signage is visible, well lit and clearly positioned
  • Check facilities regularly and restock items throughout event
