By now, all members of the organising committee should have finalised costs.
- Collate all the costs that have been researched and finalise these as far as is possible
- Don't authorise the release of allocated budgets until all funding/sponsorship has been confirmed
- Agree the final budget with all those responsible and make sure that everyone has a copy
- At each meeting get a cost update from every person and check whether there is likely to be any overspend
- Remember that it takes discipline to keep to the budget, especially in the first, untested year

- Keep the contingency fund for unforeseen problems
