An efficiently run festival or event needs a well-structured management/organising team.
Whether your event is small or large, run by volunteers or paid officers, make sure that it runs smoothly by establishing who is on the committee/team and what their individual functions are from the beginning.
Certain organisational functions must be covered:
- finance/funding
- Health & Safety
- marketing & PR
- venue organisation/management
- legal/contracts
Each individual function outlined in the TIMELINE Chart must be allocated to one of the main categories above.
Before you allocate individuals to these functions, consider:
- individual skills and qualifications
- time availability
- individual preference
Within an existing organisation you may be able to allocate functions to existing officers with parallel responsibilities.
In a voluntary organisation, consider co-opting individuals with appropriate skills, eg. solicitors, accountants, to let the organising committee concentrate on operating the festival/event.
Key Points:
- Keep the main Organising Committee as small as possible
- Build on individual strengths when allocating responsibilities
- Co-opt experts if available
- Establish an efficient communication process between committee members
