The Festival and Events Organiser should confirm the date of the next event as soon as possible, especially for annual events.

Make sure that the date is submitted to the appropriate diaries and events lists locally, regionally and nationally.

Your marketing and PR will benefit from entering the date early into diaries and printed and online festival and events lists. It also enables artists/performers, volunteers, police, RTPs, TICs, Local Authority, trades people and others to keep the date free to take part. See TIMELINE Sections 1.4, 2.1, 2.2.

By setting the date, you encourage early planning and organising. This allows you to review the last event held and correct or implement issues raised by the participants. You will also have time to update permissions, apply for insurance cover and start the funding process (see TIMELINE Chart).

If you find that you have significant problems, for example in finding insurance cover or in funding the event, then there is time to cancel if necessary.

  • Confirm date of next event with Local Authority, RTPs, Emergency services
  • Start the planning process immediately and update permissions and insurance cover
