Getting to an event, parking and getting out again, can be frustrating for visitors. A professionally run event will have a well-formulated transport plan.
Your Local Authority Highway Department will need to approve transport plans for new events, particularly those at outdoor venues. It is also sensible to inform the local Police and get their advice.
Planning good, well-placed signage will help you manage appropriate parking areas including access for the visitors with disabilities. (Local disability associations will be able to work with you on this.)
Consider:
- the capacity of parking areas
- the suitability of parking sites - bad weather can create extra difficulties
- trained stewards to direct traffic to correct parking areas
- managing departures as well as arrival - availability of stewards
- advance information on parking and directions in literature/on website
- management visitors once they have parked their cars - good signage
- communications system for stewards
Consider having a 'practice run' with stewards and check:
- signage is correct and directs people to the right areas
- capacity of parking area
- who does what
- correct areas to park
